Task consolidation helps people organize tasks into one experience. Here's the ultimate guide to understanding if you need task consolidation.
So, you’re looking for applications that include task consolidation. But before we begin, I think it’s very important for us to establish what task consolidation actually is.
Task consolidation is simply the concept of bringing tasks into your existing task management application that don’t have to be part of the to-do list app you use. For example, if you want to consolidate your work projects into your task management application, some apps can help you manage them better. The idea behind this is to reduce some context switching.
Context switching is essentially moving between different applications throughout a workday, which can involve managing your expectations while adding additional administrative work that might take a bit more time. So, task consolidation aims to make your task app or experience a dashboard for how you organize your day.
Task consolidation is a relatively new term in productivity and essentially means the ability to bring multiple task management apps into one location. This is also known as task pooling and allows you to manage your work in one location. Task consolidation is when you can bring tasks from other apps into one location.

Download Free ReportThere are many different types of task consolidation apps, but we’re going to cover the ones that very simply allow you to bring tasks in and let you order them how you find most suitable. These applications are becoming popular, so let’s dive into all of the recommendations.
Akiflow is one of the first applications on our list. It provides many people with a base for their tasks, and you can bring in a wide range of integrations. For example, you can bring in ClickUp, Notion, Gmail, and many more.
The integrations allow you to import those items into your inbox. Most importantly, it does a two-way sync between most integrations, reducing the need to check items off when you have completed certain workloads, which is perfect.
Instead of constantly switching between applications and stressing over what has been done on one end and what hasn’t been done on the other end, you can set these up inside the integration settings, making the task consolidation element much more straightforward. You can also consolidate calendars, which is helpful for bringing in all of the accounts you potentially have across a wide range of services.
Akiflow is priced at $19 per month, billed annually, or $34 per month, billed monthly. There is no free plan.

Download Free ReportMorgen is another alternative that helps you manage your task consolidation. It allows you to bring in a wide range of integrations like Todoist, Obsidian, ClickUp & more and provides you with an experience that’s quite easy for adding items.
The one compelling feature, more recently released as part of Morgen, is their new Smart Frames ability. This feature allows you to create blocks of time to auto-schedule consolidated tasks.
For example, if you find yourself every Wednesday morning doing the same type of task because that’s what you typically work well with, then what these new Smart Frames allow you to do is better consolidate tasks that are most suited for you in those time periods, based on a set of attributes or the consolidated location, which is incredibly helpful.
Many people have already found this helpful in utilizing AI scheduling and planning tasks ahead of time without stress. At the same time, it automatically updates them in the background, which is a nice addition.
Morgen is priced at $13 per month and has a free subscription too.
Sunsama is another app that does task consolidation very well and has been doing it for the longest period.
Sunsama is a daily planner application that allows you to import tasks from other applications and block them into your calendar. This application primarily focuses on guided planning, helping you better consider the quality and efficacy of the tasks you’re working on rather than focusing on quantity.
Quality is an essential factor in task management, and Sunsama is one of the alternatives on this list that has been doing this for some time.
Sunsama comes at $16 per month, billed annually, or $20 per month, billed monthly. No free plan.

Download Free ReportSuperlist is another one that focuses on bringing tasks in from other applications, but right now, what they offer is very simplistic. You can bring in Gmail items, Microsoft To-Do items, and others, but the offering isn’t extensive.
Still, they’ve hinted that they may be adding more integrations in the future. It is a fairly new application, growing foundationally and building up what they have been working on for many years now, so we can imagine this might add to the integration lineup in the future.
Superlist is free but has an upgrade of $8 per month and $10 per month for teams.
So, those are all of the task consolidation applications. Now, more and more applications are considering doing something like this as a way to dashboard-tize your task management and improve how you’re reducing the need to contact switch.
Many people like this and have continued to invest and are willing to pay more for apps that contain everything in one location to reduce the need when freelancing, working in a team, and bringing all of their ideas into one location.
